Position: Accounting Representative

Position Overview:

We are seeking a highly organized and detail-oriented Accounting Representative to join our team. In this role, you will play a critical part in maintaining our daily financial operations and supporting overall accounting functions. You will work closely with other team members to ensure accuracy in financial reporting, billing, and administrative tasks. This is an ideal opportunity for someone who enjoys working in a dynamic environment and is passionate about financial accuracy and process improvement. Please note that this position will serve as the lead Accounts Payable representative.

Key Responsibilities:

  • Daily Accounting Operations: Verify and assign account numbers to payables, match purchase order numbers, input invoice information into the accounting system and balance database to actual invoices, code and enter checks, request, prepare, and mail accounts payable checks and electronic payments, and enter journal entries to distribute expenses to the appropriate location.
  • Process Employee Expense Reports: Review employee expense reports for accuracy and valid company expenses. Review supporting documentation. Code the expense report and enter it into the Accounting System for payment. Alert supervisory staff of any discrepancies.
  • Answer Questions Regarding Payables: Answer questions and handle problems from vendors, branches, and corporate personnel regarding accounts payable status via telephone and email.
  • Financial Reporting & Reconciliation Review: Process and reconcile financial records, bank statements. customer invoices, and other financial documents, ensuring accuracy and timeliness.
  • Job Costing & Billing: Collaborate with project managers to track job progress, ensure accurate job costing, and generate project billing.

Ideal candidates possess:

  • Associate degree in accounting or related field, or 3+ years of relevant accounting experience
  • Strong ability to learn new software systems quickly
  • Proficient in Microsoft Office (especially Excel and Word)
  • Detail-oriented, highly organized, and proactive communicator
  • Ability to handle confidential information with professionalism
  • Experience with AIA Billing or Ohio Buys Software is a plus
  • Ability to work independently and collaboratively in a team environment
