The Workplace Compliance Officer promotes a safe and compliant work environment by developing and implementing safety programs, policies, and procedures that align with OSHA standards, food safety regulations, and internal protocols. This role conducts routine inspections and audits across all departments to proactively identify hazards, ensure regulatory compliance, and enforce proper safeguards related to employee safety, equipment, food handling, chemicals, and animal welfare. The officer educates staff through training programs and resource materials, manages PPE inventory, and monitors safety metrics to evaluate program effectiveness. Additionally, they support incident reporting, investigate workplace accidents and injuries to identify root causes, and contribute to the workers compensation process by recommending corrective actions and safety improvements.

Essential Duties and Responsibilities:

The essential functions include, but are not limited to, the following:

Workplace Safety and Compliance

  • Conduct and document equipment inspections (forklifts, fire extinguishers, emergency exit signs, and EBU) to ensure compliance and workplace safety.
  • Maintain comprehensive records, including OSHA logs, incident reports, and employee training certifications.
  • Serve as the primary point of contact, alongside the CEO, for insurance inspections.
  • Identify workplace hazards and collaborate with management to implement corrective actions.
  • Establish and lead a safety team, hosting quarterly meetings to address compliance updates, analyze incidents, and promote a robust safety culture.
  • Coordinate and deliver safety training, such as new hire orientations and specialized programs (e.g., Fire Extinguisher and Forklift Training).
  • Attend quarterly State of the Company addresses to provide updates on safety initiatives, compliance, incident reviews, and workplace safety efforts.
  • Report and document workplace incidents, assist with investigations, and support workers compensation claims.
  • Ensure compliance with federal, state, and local safety laws, regulations, codes, and rules.
  • Maintain and update Safety Data Sheets (SDS) and ensure safety posters and emergency signage are displayed appropriately.
  • Manage PPE inventory to guarantee all employees have the necessary protective equipment.

Food Safety

  • Oversee compliance with state and federal food safety regulations, ensuring proper food handling, storage, and production protocols.
  • Monitor food safety records, including temperature logs, cleaning schedules, and inspection reports.
  • Assist in coordinating employee food safety training, ensuring adherence to food safety standards and practices.
  • Collaborate with department managers to prepare for audits and inspections, addressing any corrective actions as needed.

Certificates of Insurance (COI) Management

  • Gather and maintain COIs for vendors, contractors, and third-party partners, ensuring compliance with company policies.
  • Proactively monitor expiration dates, collect updates, and securely store COIs for audits and inspections.
  • Organize and store COIs in a secure, easily accessible manner for auditing purposes.
  • Ensure proper compliance with insurance requirements and assist in managing risk.

Administrative and Compliance Support

  • Assist with maintaining accurate compliance records in the HRIS system, including safety and training documentation.
  • Generate reports on safety and food safety compliance.
  • Provide backup support for payroll, including data entry and timesheet verification.
