SUMMARY

The Senior Event Manager will be responsible for securing and executing local/social events with greater than 16 guests. The focus of the role will be to monitor all contractual agreements pertaining to meeting space, food and beverage/menus, and special concessions. This role will contribute to the organization as an active business partner that is responsible for

supporting the company's goals, objectives, vision, mission, and values.

ESSENTIAL FUNCTIONS

Major areas of responsibility/ management include, but are not limited to:

  • Qualify and respond to all leads within 24 to 48 hours of inquiry.

  • Collect information required for contract generation, negotiate favorable terms, and sign legal documents in order with the departmental SOPs.

  • Create and distribute accurate Banquet Event Orders (BEOs) with supporting diagrams, when applicable, in a timely fashion.

  • Serve as the primary point of contact while the Event is underway, liaising between the client(s) and the Operations team.

  • Ensure all safety and security standards are maintained through event fruition while providing seamless, comfortable service to our guests and associates alike.

  • Determine with the Operations team the ideal arrangement of furniture and service equipment for the event. This setup will be outlined on the BEO, and confirmed with the Operations team in advance, with flexibility for immaterial adjustments, if any, on-site.

  • Coordinate load-in/load-out between the Operations team and any outside vendors.

  • Print menu cards, buffet labels, event signage as requested by client(s) or Operations team.

  • As assigned by the Director of Sales & Marketing, develop marketing materials and as well as culinary/beverage programming and hotel-wide activations overall.

  • Any additional duties and responsibilities as determined by the Executive Committee.

QUALIFICATIONS

  • High school Degree or equivalent education

  • 1- 2 years’ previous experience in Event Sales, Catering Sales, or Conference Services

  • Luxury hotel experience strongly preferred

  • Bachelor’s Degree

  • Delphi and Opera experience

  • Extensive knowledge of food and beverage products, proper preparation and presentation of food and beverage items.

  • Extensive knowledge of meeting room capacities, banquet set-up, audio-visual and any other pertinent details as they relate to function room set-up.

  • Possess basic math skills and have the ability to accurately handle billing

  • Ability to communicate clearly and speak, read, write and understand English eloquently

  • Advanced skills in Word, Excel, PowerPoint, and Outlook; daily use of nearly all programs will occur

PHYSICAL REQUIREMENTS

Most work tasks are performed indoors. Temperature is moderate and controlled by hotel environmental systems. Must be able to sit at a desk for up to 5 hours per day. Walking and standing are required the rest of the working day. Length of time of these tasks may vary from

day to day and task to task. Must be able to exert well-paced ability to reach other departments of the hotel on a timely basis. Must be able to lift up to 15 lbs. occasionally. Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and

hearing ability and visual acuity. Talking and hearing occur continuously in the process of communicating with guests, supervisors and subordinates; use of these senses will occur on a constant basis.

The pay scale for the Senior Meetings & Events Manager position is $$80,000. To $85,000 annually. The pay scale is the base salary or hourly wage range, exclusive of incentive pay such as commissions, piece rates, gratuities, and the like, that Pendry reasonably expects to pay for the position
